Frequently asked questions
Answers to the most common questions about booking, cancelling, serials and running a salon — for customers, salon owners and barbers.
For customers
What is SalonKoi?
SalonKoi helps you find salons and barbershops near you and get a serial before you arrive instead of waiting in line. Compare services, prices, opening hours and ratings, send a booking request, and the salon gives you a serial number and a time.
Does it cost anything to use?
No. Searching, booking and cancelling are all free. Nothing is charged when you book — you pay the salon directly for the service, at the salon.
How do I find a salon near me?
On the Find salons page, allow location access and salons are sorted by distance from you. If you would rather not share it, type an area instead. You can filter by service type and rating, and see every salon on the map.
Your location is used for that search only — it is not saved to your account.
How do I book?
Open the salon’s page, choose one or more services (up to 5 on one booking — a haircut and a beard trim together, say), pick a day, add a note if you like, and send the request. You need an account to book.
A salon cannot be booked on a day it is closed.
When do I get my serial number and time?
Your request starts as Pending. When the salon’s owner or manager accepts it, you are given a serial number, a time, and the name of whoever will serve you. You are told by email and in the notification bell on the site.
The salon sets the time, because only the salon knows which chair is free when.
What do the booking statuses mean?
Pending — the salon hasn’t answered yet. Confirmed — you have a serial and a time. In progress — your service has started. Completed — it’s done. Cancelled — you or the salon called it off.
Why can’t I have more than one booking at a time?
To protect salons from fake bookings, a new account can hold one booking open at a time. As soon as it is completed or cancelled you can make another — there is no limit on how many you make in total.
The limit rises like this: with a verified phone number and 2 completed visits you can hold 3 at once; after 5 completed visits there is no limit. Verifying your number alone doesn’t raise it — you need the completed visits too.
How do I verify my phone number?
There is a verify button next to your number on your profile. SMS isn’t switched on yet, so the 6-digit code is sent to your account’s email — don’t wait for a text.
Changing your number clears the verification; the new number has to be verified again.
How do I cancel a booking?
From My bookings. A pending request can be withdrawn any time before the salon accepts it. A confirmed booking cancelled more than 60 minutes ahead costs you nothing. Once the service has started it can’t be cancelled.
You can give a reason if you like — the salon will see it.
What if I cancel within 60 minutes of my time?
You can still cancel — it is recorded on your account as a late cancellation, and you are told so before you confirm. There is no fee and nothing is charged.
Cancelling late is still far better than not turning up: the salon may be able to give the chair to someone else, and a no-show weighs much more heavily on your record.
Can I change my booking’s time?
Only the salon can move an appointment. If the time doesn’t suit you, ask the salon to move it rather than cancelling and booking again — you keep your place. You are emailed when the time changes.
What happens if I don’t turn up?
30 minutes after your appointment time, the salon can record that you didn’t come, and you are emailed when it does. Nothing is charged; it goes on your record, and salons see the count when you next book. It does not lower how many bookings you can hold open.
Marked absent but you were there? Contact the salon — they can correct it. One salon’s marks count for much less than the same thing at several different salons.
What if the salon cancels my booking?
A salon can call off a booking at any time — illness, a power cut, a family emergency. You are emailed when it does, with its reason if it gave one. Nothing is added to your record.
How do I leave a review?
Once a booking is completed, you can rate it 1 to 5 stars and add a comment from My bookings — one review per completed booking. Only customers who were actually served can review, which is what makes the ratings worth trusting.
Your review, rating and name appear publicly on the salon’s page.
I forgot my password.
Choose “Forgot password?” on the login page. A 6-digit code is emailed to you and works for 15 minutes; enter it with your new password.
Can I use the site in Bengali?
Yes — Bengali is the default. Switch with the language buttons at the top. Salon names, descriptions and service names show exactly as the salon wrote them; those aren’t translated.
What can a salon see about me?
The salon you book sees your name, contact details, the services you chose and your note — so it can serve you and reach you about the appointment — along with a summary of how your past bookings went. We don’t sell your information.
For salon owners and barbers
How do I list my salon on SalonKoi?
Create an account, then fill in the List your salon form with the salon’s name, address, map location, phone number and opening hours. Our team reviews the request; once it is approved the salon goes live and you get the owner’s dashboard.
Listing and taking bookings are free.
How long does approval take?
Every request is checked by a person, so there is no fixed time. One account can have one request waiting at a time, and file at most 3 in 24 hours.
Who sets my services and prices?
You do. The owner and managers can add services, change prices, set variant prices (short hair / long hair) or a “from” price, reorder the menu, and hide a service for a while without deleting it. The platform cannot change your prices.
Every price change is kept in a dated history, and bookings already made keep the price they were made at.
How do I accept booking requests?
A new request rings the notification bell and lands in the pending list. To accept it, give it a time and choose who will serve it — the serial number is assigned for you, and the customer is emailed. If you can’t take it, decline it.
If a service is marked as needing a phone call, you confirm you have called the customer before the booking can be accepted.
How am I protected from fake bookings?
When you accept a request you see the customer’s record — how many visits they have completed, how often they didn’t turn up, and whether their phone number is verified. A new account can’t hold more than one booking at once, so one person can’t fill your day.
If a customer doesn’t come, mark them absent 30 minutes after their time. It goes on their record and other salons see it too. Only mark someone who truly didn’t come — being late isn’t a no-show.
How do I run the day’s queue?
The queue page lists the day’s confirmed bookings in order. Press Start when the customer sits down and Complete when you’re done — that is what lets them leave a review. You can move a booking’s time or cancel it if you must; the customer is emailed either way.
How do I add barbers or a manager?
They need a SalonKoi account first. Then, from the team page, invite them as a barber or a manager by their email or phone number. They join once they accept — until then they get nothing.
A person can work at one salon at a time.
What can an owner, a manager and a barber each do?
Owner — everything, including who is on the team. Manager — runs services and prices, accepts or declines requests, and decides who serves each booking. Barber — sees the whole pending list and runs the work given to them (start, complete, reschedule, cancel), but doesn’t pick which customers they take.
A salon has invited me. What do I do?
Accept or decline it on the invitations page. Once you accept, that salon’s queue appears on your dashboard. If several salons invite you, the first one you accept is the one you join.
Why isn’t my salon photo showing yet?
Every photo is checked by our team before anyone else sees it. It appears once approved; if it is rejected you are told why in your notifications. A salon can have up to 5 photos, each up to 5 MB.
How do I change my opening hours or days off?
From My salon, set opening and closing times for each day of the week, or mark a day closed. Customers can’t book a day you’re closed.
Can customers pay online?
Not yet. Customers pay you directly at the salon, and SalonKoi takes no commission. Online payment is planned.
